Getting Started

Prerequisites

  • iOS 13+ / Android 8+ / Web browser
  • Internet connection for initial setup
  • Email address for account creation

Installation

  1. Download Home Base from the App Store (iOS) or Google Play Store (Android)
  2. For web: Visit the Home Base web app URL
  3. Open the app and grant necessary permissions (camera, notifications, etc.)

How to Create an Account

  1. Open the App - Launch Home Base on your device
  2. Navigate to Sign Up - If not automatically redirected, tap "Sign up" from the sign-in screen
  3. Fill in Required Information:
    • Full Name - Enter your first and last name
    • Email Address - Provide a valid email address
    • Password - Create a secure password (see requirements below)
    • Confirm Password - Re-enter your password to confirm

Password Requirements

Your password must meet all of the following criteria:

  • โœ“ At least 8 characters
  • โœ“ One uppercase letter (A-Z)
  • โœ“ One number (0-9)
  • โœ“ One special character (!@#$%^&* etc.)

Example: HomeBase2024!

Alternative Sign-Up Methods:

  • Google Sign-In - Tap the Google button to sign up with your Google account
  • Apple Sign-In (iOS only) - Tap the Apple button to sign up with your Apple ID

What Happens Next?

  • A verification email will be sent to your email address
  • You'll be redirected to the Check Email screen
  • Click the verification link in the email to activate your account
  • After verification, you'll be redirected to the app's home screen

Sign In

How to Sign In

  1. Open the App - Launch Home Base
  2. Enter Credentials:
    • Email Address - The email associated with your account
    • Password - Your account password
  3. Tap "Sign In"

Alternative Sign-In Methods:

  • Google Sign-In - For accounts created with Google
  • Apple Sign-In (iOS only) - For accounts created with Apple

Password Reset

How to Reset Your Password

  1. On the Sign In screen, tap "Forgot password?"
  2. Enter your Email Address
  3. Tap "Send Reset Link"
  4. Check your email for the password reset link
  5. Click the link to open the reset password page
  6. Enter your New Password (must meet all requirements)
  7. Confirm your new password
  8. Tap "Reset Password"
  9. You'll be redirected to sign in with your new password

Spaces

What are Spaces?

Spaces represent different physical locations where you store items. Examples include:

  • Your primary home
  • Office
  • Vacation home
  • Garage
  • Storage unit
  • Apartment

Creating a Space

  1. Navigate to Spaces: From the home screen, tap the "Spaces" tab or navigate to Spaces
  2. Tap "Add Space" Button: Located in the top-right corner of the screen (orange button with plus icon)
  3. Enter Space Details:
    • Space Name: Enter a custom name (e.g., "My House", "Downtown Office") or select a preset name. Maximum 40 characters.
    • Choose Type (Optional): Select from preset types with icons:
      • ๐Ÿ  Home - Orange theme
      • ๐Ÿ’ผ Office - Blue theme
      • โ˜€๏ธ Vacation Home - Yellow theme
      • ๐Ÿ”ง Garage - Gray theme
      • ๐Ÿข Apartment - Pink theme
      • โž• Custom - Gray theme
    • Address (Optional): Street address, maximum 120 characters
    • City (Optional): City name, maximum 60 characters
    • Country (Optional): Tap to open country picker
  4. Create Space: Tap the "Create Space" button

Managing Spaces

Viewing Spaces

  • My Spaces: Spaces you own (shown first)
  • Shared With Me: Spaces shared by other users (shown second)
  • Active Space: The currently selected space has an orange border

Selecting a Space

Tap any space card to make it the active space. The active space is used for adding rooms and items. A blue border indicates the active space.

Editing a Space

  1. Tap the three-dot menu (โ‹ฎ) on the space card
  2. Select "Edit Space"
  3. Modify the name, type, address, city, or country
  4. Tap "Save Changes"

Sharing a Space

Space sharing allows you to collaborate with family members or others by giving them access to your spaces.

How to Share a Space:

  1. Navigate to Share: Tap the three-dot menu (โ‹ฎ) on the space card and select "Share Space"
  2. Enter User Details:
    • Email Address: Enter the email address of the person you want to share with
    • Permission Level: Choose between two permission types:
      • Editor (๐ŸŸข): Can add, edit, and delete items and reminders
      • Viewer (๐Ÿ”ต): Can only view items and reminders (read-only access)
  3. Send Invitation: Tap the "Share" button. An invitation email will be sent to the user.

Managing Shared Users

Once users have accepted your invitation, you can manage their access:

  • View Shared Users: See all users with access to your space
    • Active users show their name and email
    • Pending invitations show "Pending" badge
  • Change Permissions: Tap the three-dot menu next to a user to switch between Editor and Viewer
  • Remove Access: Tap the three-dot menu and select "Remove User" to revoke access
  • Cancel Invitation: For pending invitations, you can cancel before they're accepted

Important Notes:

  • Pro Feature: Space sharing requires an active Pro subscription
  • Default Space: You can share the default "Home" space
  • Multiple Users: Share with multiple people simultaneously
  • Instant Updates: Changes sync in real-time across all users
  • Activity Logging: All sharing actions are logged for security

Leaving a Shared Space

If someone has shared a space with you:

  1. Navigate to the Spaces tab
  2. Find the shared space under "Shared With Me"
  3. Tap the three-dot menu (โ‹ฎ)
  4. Select "Leave Space"
  5. Confirm your choice

Note: You will lose access to all items, rooms, and reminders in that space.

Deleting a Space

  1. Tap the three-dot menu (โ‹ฎ) on the space card
  2. Select "Delete Space"
  3. Confirm deletion

Restrictions:

  • Cannot delete the default "Home" space
  • Must have at least one space at all times
  • Deleting a space also deletes all rooms, items, and reminders within it

Rooms

What are Rooms?

Rooms are subdivisions within a space. They help you organize items by location. Examples include:

  • Living Room
  • Bedroom
  • Kitchen
  • Bathroom
  • Garage
  • Office

Creating a Room

  1. Navigate to Rooms: From the bottom navigation, tap the "Rooms" tab
  2. Ensure You Have an Active Space: Rooms are created within the currently active space
  3. Tap "Add Room" Button: Located in the top-right corner (orange button with plus icon)
  4. Enter Room Details:
    • Room Name: Enter a custom name (e.g., "Master Bedroom", "Kitchen") or select a preset name. Maximum 40 characters.
    • Choose Type: Select from preset room types with icons:
      • ๐Ÿ“บ Living Room - Orange theme
      • ๐ŸŒ™ Bedroom - Red theme
      • โ˜• Kitchen - Yellow theme
      • ๐Ÿšฟ Bathroom - Blue theme
      • ๐Ÿ’ผ Office - Green theme

  5. Create Room: Tap the "Create Room" button

Managing Rooms

Viewing Rooms

Rooms are displayed as cards with:

  • Icon and color
  • Room name
  • Number of items in the room
  • Total value of items in the room

Searching Rooms

Use the search bar at the top to filter rooms by name. Results update in real-time as you type.

Navigating to a Room

Tap any room card to view its details and items. You'll see all items stored in that room.

Items

What are Items?

Items are the individual objects you want to track in your inventory. Each item can have:

  • Basic information (name, brand, model, serial number)
  • Purchase details (price, date, store)
  • Condition
  • Category
  • Location (room)
  • Documents (photos, invoices, warranties, etc.)
  • Service and maintenance information

Adding an Item

  1. Navigate to Add Item: From the home screen, tap "Add Item" or "+" button, or from a room screen, tap "Add Item"
  2. Fill in Item Information:
    • Basic Information:
      • Item Name (Required) - Name of the item (e.g., "Samsung TV", "Office Chair")
      • Brand - Manufacturer brand (e.g., "Samsung", "Herman Miller")
      • Model - Model number or name
      • Serial Number - Unique serial number (can be scanned via QR code)
      • Category - Select from preset categories: Electronics, Furniture, Appliances, Clothing, Jewellery, Kitchen, Sports, Books, Toys, Tools, Documents, Other
      • Room - Select which room this item is in
    • Purchase Information:
      • Purchase Price - How much you paid
      • Purchase Date - When you bought it (date picker)
      • Purchase Store - Where you bought it
    • Condition: Select from: New, Like New, Good, Fair, Poor
  3. Add Photos: Tap "Add Photo" to take a photo or choose from gallery
    • Free Plan: 1 photo per item
    • Pro Plan: Up to 4 photos per item
    • Photos are compressed to 2MB or less for optimal storage
  4. Add Documents (Optional): Upload invoice, warranty, insurance, service, or renewal documents
  5. Warranty Information (Optional): Toggle "Has Warranty" to enable and enter warranty details
  6. Insurance Information (Optional): Toggle "Has Insurance" to enable and enter insurance details
  7. Renewal Information (Optional): Toggle "Has Renewal" to enable and enter renewal details
  8. Service Information (Optional): Toggle "Has Service" to enable and enter service details
  9. Additional Information: Add notes and tags for easier searching
  10. Save Item: Tap "Save Item" button

Item Features

  • QR Code Scanning: Scan QR codes to auto-fill model numbers or service dates
  • Photo Management: Add up to 4 photos (Pro) or 1 photo (Free)
  • Document Management: One document per type (invoice, warranty, etc.)
  • Offline Support: Items can be created offline and synced later
  • Activity Logging: All item creation and edits are logged

Reminders

What are Reminders?

Reminders help you track important dates and events related to your items:

  • Warranty - When warranties expire
  • Service - When items need maintenance
  • Insurance - When insurance policies renew
  • Renewal - When subscriptions/licenses renew
  • Custom - Any other important dates

Creating a Reminder

  1. Navigate to Reminders: From the bottom navigation, tap the "Reminders" tab
  2. Tap "Add Reminder" Button: Located in the top-right corner (orange button with plus icon)
  3. Select an Item: Choose the item you want to create a reminder for
  4. Configure Reminder Settings:
    • Basic Information:
      • Title - Name of the reminder (e.g., "Car Service Due")
      • Type - Select reminder type: Warranty, Service, Insurance, Renewal, or Custom
    • Date and Time:
      • Due Date - When the reminder should trigger
      • Time - Specific time for the reminder
    • Recurrence (Optional):
      • Frequency: Once, Daily, Weekly, Monthly, Yearly
      • End Date: When to stop recurring (optional)
    • Notifications: Enable/disable push notifications and set advance notification
  5. Save Reminder: Tap "Save Reminder"

Managing Reminders

Viewing Reminders

  • Active Reminders: Enabled reminders that haven't expired
  • Disabled Reminders: Paused reminders
  • Urgency Indicators:
    • ๐Ÿ”ด Red: Due within 7 days or overdue
    • ๐ŸŸก Yellow: Due within 21 days
    • ๐ŸŸข Green: Due in more than 21 days

Filtering Reminders

Tap the filter dropdown to filter by type: All, Warranty, Service, Insurance, Renewal, or Custom.

Swipe Actions

  • Swipe Left on a reminder card to archive it

Reminder Menu Options

Tap the three-dot menu (โ‹ฎ) on a reminder card to:

  • Enable/Disable - Pause or resume the reminder
  • Archive - Move to archived reminders
  • Delete - Permanently remove the reminder

Auto-Generated Reminders

Reminders are automatically created when you add warranty/service/insurance/renewal info to items. These reminders track:

  • Warranty Reminders: Track warranty expiration dates
  • Service Reminders: Track maintenance schedules with recurring intervals
  • Insurance Reminders: Track insurance renewal dates
  • Renewal Reminders: Track subscription/license renewals

Exporting Reminders to Calendar

You can export individual reminders to your device's native calendar app (Google Calendar, Apple Calendar, etc.).

How to Export a Reminder

  1. Navigate to Reminder: Go to the Reminders tab and tap on the reminder you want to export
  2. Export to Calendar: Tap the "Export" button (calendar icon)
  3. Grant Permissions: Grant calendar permissions if prompted (first time only)
  4. The reminder will be added to your device calendar

What Gets Exported:

  • Event Title: [Type] Reminder Title (e.g., [Warranty] TV Service Due)
  • Event Notes: Includes item name, reminder type, repeat frequency, and due date
  • Event Time: Uses the reminder's due date and time (defaults to 9:00 AM if no time set)
  • Event Duration: 1 hour block
  • Recurrence: Exports recurring reminders with repeat rules (monthly, quarterly, yearly)

Important Notes:

  • Premium Feature: Calendar export requires a Pro subscription
  • No Duplicates: System prevents exporting the same reminder twice
  • Rich Details: Exported events include all reminder information in the notes
  • Sync: Events appear in your default calendar app immediately
  • Mobile Only: Calendar export is available on iOS and Android apps (not available on web)

Managing Exported Reminders:

  • Exported reminders are tracked to prevent duplicates
  • If you edit a reminder in Home Base, re-export it to update the calendar event
  • Deleting a reminder in Home Base does NOT delete the calendar event (manual cleanup required)

Troubleshooting Calendar Export:

  • Permission Denied: Enable calendar permissions in Settings -> Apps -> Home Base -> Permissions
  • No Calendar Found: Ensure you have a calendar app set up (Google Calendar, Outlook, etc.)
  • Already Exported: Each reminder can only be exported once to prevent duplicates

View reminders in a calendar format:

  • Changes are queued for sync when you're back online

  • Activity history tracking
  • Data backup and restore

Space Sharing and Collaboration

Home Base allows you to share spaces with family members, roommates, or colleagues for collaborative inventory management.

Key Features:

  • Share Spaces: Invite others to view or edit your spaces
  • Two Permission Levels:
    • Editor: Can add, edit, and delete items and reminders
    • Viewer: Can only view items and reminders (read-only)
  • Real-time Sync: Changes sync instantly across all users
  • Pending Invitations: Invitation system with email notifications
  • Activity Logging: All sharing actions are logged for security
  • Multiple Users: Share with multiple people simultaneously

Note: Space sharing is a Pro feature. You need an active Pro subscription to share spaces.

Troubleshooting

Common Issues

Can't create a space:

  • Check if you've reached your space limit (Free: 1, Pro: Unlimited)
  • Ensure you're online or have queued the creation for sync

Can't add more photos:

  • Free plan allows 1 photo per item
  • Upgrade to Pro for up to 4 photos per item

Reminders not working:

  • Check notification permissions in your device settings
  • Ensure the app has permission to send notifications
  • Verify the reminder is enabled

Items not syncing:

  • Check your internet connection
  • Pull to refresh the list
  • Check the sync queue in settings

Can't log in:

  • Verify your email and password
  • Check if your account is locked (wait 30 minutes)
  • Use "Forgot Password" to reset your password
  • Ensure you've verified your email
